6 Questions to Ask Every Wedding Vendor Before You Book, According to a Wedding Planner
As a wedding planner, my job isn’t just to design a beautiful celebration—its to protect my couples' sanity, timeline, and budget. One of the most critical stages in the planning process is selecting the vendor team that will bring your vision to life. Beyond falling in love with a photographers gallery or tasting a caterers signature dish, you need to know how each vendor operates behind the scenes and on the day under pressure.
Before you sign any contracts or pay deposits, here are six essential questions I advise every couple to ask prospective vendors.
1. How many years of experience do you have, and how many weddings do you handle annually?
There is no substitute for real-world event experience. Asking about a vendor’s track record helps you assess how they handle high-stress situations, tight timelines, and unpredictable elements like bad weather or technical glitches. Knowing their annual workload also tells you whether they have the bandwidth to give your wedding the personal and professional attention it deserves, or if they are taking on too many events during peak season.
2. Are you available on my date, and will you personally be managing my event?
Never assume the person leading your initial consultation will be the person standing on-site on your wedding day. Many photography studios, DJ services, and floral design companies employ team members or associates. Ask directly: Will you personally be executing the service on my wedding day, or will an associate be assigned? If it's an associate, ask to meet them or review their specific portfolio before booking.
3. What is included in your base package, and what triggers additional fees?
Scope creep is the fastest way to blow past your wedding budget. Ask for a comprehensive, line-item breakdown of deliverables and potential add-on costs. For example:
Photographers: Are second shooters, full digital rights, and engagement sessions included?
Caterers & Venues: Are service charges, gratuities, cake-cutting fees, and cleanup costs included?
All Vendors: What are the policies regarding travel fees, overtime rates, vendor meals, and setup/breakdown hours?
4. What is your contingency plan if an emergency arises?
Life is unpredictable. If your lead photographer falls ill, your DJ loses power, or a floral delivery gets delayed, you need to know there is a plan B. A seasoned professional always has contingency protocols in place—whether that’s carrying duplicate backup equipment on-site or belonging to an exclusive network of vetted peers who can step in seamlessly if an emergency occurs.
5. How do you collaborate with the rest of the vendor team on the day of?
Your wedding day relies on a synchronized team effort. A great photographer works hand-in-hand with the planner to protect the timeline; a caterer coordinates closely with the DJ to time dinner announcements. Ask how the vendor approaches team communication and whether they are comfortable following a master schedule created by your planner. You want vendors who are collaborative team players.
6. What are your payment schedules, deposit requirements, and cancellation policies?
Protecting your investment requires full clarity on the legal and financial terms. Ask about the required non-refundable deposit to lock in your date, the schedule for remaining payments, and accepted payment methods. Crucially, review their terms regarding date changes, force majeure events, or cancellations so you enter the partnership fully informed.
